Placing items on course reserve

How Faculty Request Reserve Materials

Faculty members must either provide the library with a prepared bibliography (author, title, year of publication, and requested period of loan) or submit their requests on the appropriate form.

Faculty members are requested to submit their bibliographies at least two weeks prior to the beginning of every term. All reserve lists are handled in order of receipt and Library personnel must be given sufficient lead time to process the large number of bibliographies received each term. Faculty should allow a minimum of two days for the searching and tagging of materials before class assignments are given out.

What May be Placed on Reserve

  • Faculty member's personal copy of a book or periodical may be placed on reserve. All personal copies will be tagged so as to be protected by the library security system. Personal copies will also be barcoded in order to be checked on the computerized circulation system.
  • Books from the libraries collections may be placed on reserve. Library books must be requested in writing (including author, title, year of publication, and call number). The requested materials must also meet the following criteria:
    • The libraries do not have more than two copies of the book requested
    • No more than 15 books are requested per individual course for building-use-only and/or 1-day loans
    • No more than 30 books are requested for a 3-day, 1-week, or 2-week loan period per individual course.
  • Photocopied materials being place on reserve must meet the standards set down in the Copyright Policy for Reserve.

Loan Periods Available for Reserve Items

  • Building-use-only reserve items are kept behind the Check Out & Customer Service Desk; items are check out by a student for 3 hours but may only be used within the building.
  • University owned 1-day, 3-day, 1-week, or 2-week loan resources are shelved throughout the stacks and are checked out according to regular circulation procedures.
  • Faculty member's personal copies may be designated with any one of the noted loan periods and will be housed behind the Check Out & Customer Service Desk.
    • Faculty members are responsible for picking up their materials at the end of each term.
  • Library-owned materials will be returned to the general collections at the end of each term, that is, the library will not automatically carry items over from term to term.

Other Information

  • Library personnel are not responsible for materials removed from notebooks, folders or damage to other materials placed on reserve.
  • Forms for reserves are located at the Check Out & Customer Desk in each library. Only the reserve form from the library will be accepted.
